UTM tracking spreadsheet template

Keep a record of the links your team actually publishes. The CSV has three fictional examples plus editable rows for campaign IDs, source, medium, content, final URLs and QA status. Use the URL builder to assemble each link safely.

Open the CSV in Excel, or import it into Google Sheets and choose comma-separated values. Save your working copy in a controlled location. The CSV contains the rows below and space for your notes; it has no macros, formulas or live account connection.

How to use the template

Agree on the vocabulary

Choose a stable name for each source, medium and campaign. Record one initiative under one campaign ID, then use content to distinguish placements or assets. Google treats UTM values as case-sensitive. The example vocabulary is an editorial convention; align yours with the reporting definitions your team uses.

Build the complete URL

Enter the approved destination and UTM values into the linked builder, then paste its output into the Full campaign URL column. The builder handles encoding, existing query strings and fragments. The CSV deliberately has no concatenation formula: adding a second question mark or placing parameters after a fragment can break a handwritten link.

Verify the published placement

Open the actual link from the final draft or a controlled preview. Confirm the destination and parameters after redirects. Check the expected acquisition reporting in an authorized workflow and record the result. A URL that looks correct in the sheet is still unverified until the delivery path has been checked.

Keep the register current

Add an owner and placement reference before publication. Preserve the prior record when replacing a link so later reporting can explain the change. Keep customer identities, email addresses and credentials out of URLs and this public template. Do not add campaign UTMs to internal site navigation merely to track a button click.

Worked review example

The three example rows belong to one fictional autumn-demo initiative. Their source and content values differ because the placements differ. The third destination already has a plan query and a request fragment; the UTM parameters sit in the query before the fragment.

If one publisher changes the label to Autumn-Demo, reporting may split that value from autumn-demo. Update the approved link and record the change. Do not silently rename historical rows and assume that changes Analytics history.

What this template does and does not establish

The CSV is an editable register, not a live URL validator or an Analytics connector. It has no formulas. The example.com links are illustrations, not working conversion destinations. Preserve provider auto-tagging where applicable and test the interaction with manual tags before changing a live campaign.
